We're looking for a proactive, people-focused Office Manager to run our growing Warsaw office of 50–75 people. You'll be the person who keeps the office running smoothly every day and makes it a place people enjoy coming to: well organised, well stocked, safe and secure, and full of community. You'll work closely with Finance, Operations, Physical Security, HR and leadership, so you anticipate problems before they happen and take initiative without waiting to be asked.

Czy do nas pasujesz?
You have 5 or more years of experience managing a large office of 50 or more people in office management, workplace operations or facilities.
You have experience working with international teams from different cultures.
You have hands-on experience managing vendors, budgets and petty cash.
You have strong organisation and attention to detail, with the ability to juggle many tasks at once.
You have excellent communication skills and confidence working with everyone from new joiners to leadership.
You exercise discretion in handling confidential information.
You are fluent in Polish and English.
You bring a positive, can-do attitude, genuine interest in people and community, and openness to learning new skills.
You have experience managing an office for a fast-growing tech or defense company.
You have event planning experience.
You have working knowledge of Polish labour law basics or HR administration.
You have Ukrainian language skills.
Czym się zajmiesz
You take full ownership of the daily lunch programme for the entire office, covering menu planning, headcount and dietary needs, vendor selection, quality control and staying within budget.
You keep the office clean, stocked and ready, managing supplies, meeting rooms, desk allocation, seating plans and office moves as the team grows, resolving issues before they reach the team.
You manage office access, keys, badges, visitors and deliveries together with Physical Security, following Swarmer's security and visitor procedures.
You manage relationships with cleaners, maintenance contractors, caterers and other suppliers, setting service expectations, sourcing and comparing quotes, and working with Finance on contracts and payments.
You support the supply chain team in managing hardware storage.
You handle petty cash, utilities and office bills accurately and on time, with monthly reconciliation, correct coding and early flagging of budget variances.
You assist the HR team with administrative duties and other support activities as needed.
You build a connected office culture through team lunches, celebrations and social initiatives, and help leadership run all-hands meetings, offsites and gatherings, including welcoming colleagues visiting from other Swarmer locations.
You define and implement community-building initiatives together with HR operations.
